1. Who we are

Spanish Venues (spanishvenues.com) is a curated directory of Spanish wedding venues. Venues pay a flat annual fee to be listed; the service is free for couples. When you send an enquiry, we introduce you to the venue you ask about — that introduction is the whole service.

Spanish Venues is operated by ORTC FZCO, a company registered in the United Arab Emirates. ORTC FZCO also operates our sister site, ItalianVenues (italianvenues.com). Where this policy says “we”, “our” or “us”, it means ORTC FZCO trading as Spanish Venues.

This policy explains what personal information we collect, why we collect it, who we share it with, and the rights you have over it.

2. What we collect

We collect personal information only when you give it to us through one of three forms on the site:

  • Enquiry form: your name, email address, preferred date, guest count, budget, and your message.
  • Venue application form: venue name, region, website, contact name, and email address.
  • Newsletter signup: your email address.

Form submissions are delivered to us by email using Resend (resend.com), an email delivery service. We do not currently operate a database or CRM — the email we receive is the record of your submission.

Our forms include a hidden “honeypot” field to catch automated spam. It collects nothing from real visitors, and we do not use a CAPTCHA service.

Like almost every website, our hosting provider (Vercel) keeps basic server logs — things like IP address, browser type, and pages requested — which we use only to run and secure the site.

3. Why we collect it, and our legal basis

  • To make venue introductions: when you enquire, we pass your enquiry to the venue(s) you ask about so they can respond to you directly. Legal basis: taking steps at your request before entering into a contract — the introduction is the service you asked us for.
  • To assess venue applications: we use the details a venue submits to consider it for listing and to reply. Legal basis: taking steps at your request before entering into a contract.
  • To send the newsletter: only if you sign up. Legal basis: your consent, which you can withdraw at any time by unsubscribing or contacting us.
  • To run and secure the site: server logs and anti-spam measures. Legal basis: our legitimate interest in keeping the site working and free of abuse.

We do not sell your data, and we do not use it for advertising.

4. Who we share it with

  • The venue(s) you ask about: when you submit an enquiry, we share it with the specific venue(s) it concerns so they can respond to you. That is the purpose of the enquiry, and we share only what the venue needs to answer you.
  • Resend: processes form submissions as email on our behalf.
  • Vercel: hosts the website (including our images, served from Vercel’s CDN) and keeps basic server logs.
  • PostHog (if enabled): we may use PostHog, an EU-hosted analytics service, served through our own domain, to understand how the site is used. See section 7.

These providers process data on our behalf and only for the purposes above. We may also disclose information if required by law, court order, or governmental authority.

Some pages include WhatsApp contact links. If you use one, you leave our site and Meta’s WhatsApp service — and Meta’s own privacy policy — takes over from there.

5. How long we keep it

Because submissions reach us as email, retention is simple: we keep the emails for as long as we need them to provide the service and answer follow-ups, and we delete them when they’re no longer needed or when you ask us to. If we introduce you to a venue, the venue holds its own copy of your enquiry and is responsible for it under its own privacy policy.

6. Your rights

Under the General Data Protection Regulation (GDPR) and similar laws, you have the right to:

  • Access the personal data we hold about you and request a copy.
  • Correct anything inaccurate or incomplete.
  • Erase your data — because our records are email, this usually means deleting your emails, which we will do on request.
  • Object to or restrict our processing of your data.
  • Withdraw consent at any time where we rely on it (for example, the newsletter).

To exercise any of these rights, contact us through the enquiry form on our homepage and tell us what you’d like us to do. You also have the right to complain to your local data protection authority.

7. Cookies and analytics

We may use PostHog for analytics. It is EU-hosted and served through a first-party path on our own domain; if it is enabled, it sets analytics cookies or browser storage that help us understand how the site is used — nothing more.

We do not use advertising cookies, Google Analytics, or advertising pixels from TikTok, Meta, or anyone else.

8. International transfers

We are based in the United Arab Emirates, so responding to your submission means your data leaves the EU. Our analytics (if enabled) is EU-hosted, but Resend and Vercel are US companies and may process data in the United States. Where data leaves the EU or UK, our providers rely on recognised safeguards such as standard contractual clauses, and we share only what each purpose requires.

We may update this policy from time to time. We’ll post any changes on this page and update the “Last updated” date above.
